Who I am
This policy is from Jocelyn Lea MacRae, known as Jocelyn Lea, trading as Jocelyn.Coaching (ABN 64 876 935 818), based in Darwin, Northern Territory, Australia. When I say "I", "me" or "my", that's me.
I handle your personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth). Because I may hold health information, the Privacy Act applies to my business whatever its size.
I'm also a registered Physiotherapist. I teach Vedic Meditation as a separate service from physiotherapy, and I hold myself to the same standards of privacy and record keeping.
What this policy covers
This policy covers personal information I collect through this website, my courses, programs and Bite Sized Wisdom, intro calls and group meditations, emails and messages, and social media.
What I collect
What you share with me
- Your name and email address, and if you give them, your phone number, suburb or city
- What you write in a form, email or message, including the "Anything you'd like me to know?" box on my enquiry forms
- Booking details, such as which course you're interested in and who you learnt with
- Your answers to my course questionnaire, which may include health information
- Notes from our calls and sessions, kept brief and only where they help me support you
- Your posts and comments, if you join Bite Sized Wisdom
- Feedback or a story about your experience, if you choose to share one
Payment details
Payments are made through Kajabi, using Stripe. I keep a record of what you paid and when. I never see or store your full card number.
What's collected automatically
When you visit this website, some information is collected automatically by Kajabi, the platform it runs on. This includes your IP address, device and browser type, the pages you visit, the page that referred you, and a random ID stored in a cookie. If you later fill in a form or log in, that activity may be linked to your contact record. My Cookie Policy lists these cookies.
From other people
Occasionally I receive your details from someone else, like Calendly when you book a call, or Stripe when you pay. I don't buy contact lists.
You can stay anonymous
You're welcome to browse this website, or ask me a general question, without telling me who you are or by using a different name. I can't teach you a course or take a booking anonymously, because I need to know who you are and how to reach you.
Your health information
Health information is sensitive, so I treat it with extra care. I only collect it with your consent, and only when it helps me teach and support you safely. For example, on my course questionnaire, or because you choose to tell me.
Please don't put detailed health information in website forms, emails or social media. If there's something I should know, tell me in your questionnaire or when we speak.
I'll only share your health information with someone else, like your GP or psychologist, with your permission. The only exceptions are the situations under "When the law requires me to share" below.
Information I didn't ask for
Sometimes people send me information I didn't ask for. If I couldn't have collected it under this policy, I'll destroy it or remove anything that identifies you, as long as it's lawful to do so.
How I use your information
- To answer your enquiry and book you in
- To teach your course or program, and keep in touch about it
- To understand your needs, so I can support you safely
- To provide ongoing support after your course
- To send you my newsletter, or news about a waitlist you've joined
- To understand how this website is used, so I can improve it
- To meet my legal, tax and insurance obligations
I'll only use your information for another purpose if you'd reasonably expect it and it's closely related, if you agree, or if the law allows or requires it.
I don't sell, rent or trade your personal information. Ever.
I don't use computer programs to make decisions about you that could significantly affect you.
Emails from me
- If you join my newsletter, I'll send it once a month, plus first word when new course dates open.
- If you join a waitlist, I'll only email you about that offer.
- If you send an enquiry or book a call, I'll email you about that. I won't add you to my newsletter unless you sign up for it.
Every marketing email comes from me, by name, and has an unsubscribe link at the bottom. You can also just reply and ask. I'll remove you within five working days.
You'll still receive emails directly connected to something you've booked or bought, like receipts and course details.
Confidentiality
What you share with me, in a session, an email or a message, stays between us. That doesn't end when your course does.
If I ever discuss my teaching with a mentor or supervisor, anything that could identify you is removed.
When the law requires me to share
There are a few rare situations where I may share information without your consent, but only where the law requires or allows it:
- If I believe it's necessary to lessen or prevent a serious threat to someone's life, health or safety
- Where the law requires me to report, such as harm or risk of harm to a child, or serious domestic and family violence under the law where I live and teach
- If a court, tribunal or law enforcement agency lawfully requires it
- If needed to establish or defend a legal claim, including telling my insurer
Where it's safe and lawful, I'll talk with you first.
Your story
If you share feedback or a story about your experience, I'll only use it publicly with your written permission. You choose how you're named, whether that's your first name and town, just an initial, or nothing at all.
You can change your mind at any time. I'll take it down from my website within 14 days. I can't recall something that's already been shared or printed by others.
Who else handles your information
I use a small number of trusted services to run my business. They only receive what they need to do their job:
- Kajabi, for this website, forms, my email list, online programs and website analytics (Kajabi uses a service called RudderStack for this)
- Stripe, which processes payments made through Kajabi
- Calendly, for booking intro calls and group meditations
- Google, for email, and Google Meet for online calls and group meditations
- Xero, for invoices and tax records
- Google Fonts and other content networks, which receive your IP address when a page loads so the site displays properly
- Meta (Instagram and Facebook), only if you message or follow me there
- My accountant, lawyer or insurer, if needed, who are bound by confidentiality
Information stored overseas
Several of these services store information outside Australia, mainly in the United States. Some, like Google, Stripe and Xero, may also use servers in other countries.
I choose providers who commit to protecting personal information, and I remain responsible under Australian privacy law for how your information is handled.
Social media isn't a private space, so please don't share personal or health details with me there. Email is better.
Keeping it safe
I take reasonable steps to protect your information from misuse, interference, loss, and unauthorised access, change or sharing. That includes:
- Secure, reputable cloud platforms, protected by two-factor login
- Notes kept without identifying details wherever possible
- Only accessing your information on secure, private connections, and always using a VPN when I'm travelling, including overseas
No system is perfectly secure. If a data breach happens, I'll act quickly to contain it. If it's likely to cause you serious harm, I'll tell you, and notify the Office of the Australian Information Commissioner, as the law requires.
How long I keep it
- Student records, including any health information: 10 years from our last contact
- Financial records: 5 years, as Australian tax law requires
- Enquiries and waitlists: if you don't go on to book, I delete your details within 2 years of our last contact
- Newsletter: for as long as you're subscribed
After that, your information is securely deleted, or anything that identifies you is removed.
Seeing, correcting or deleting your information
You can ask to see the personal information I hold about you, or ask me to correct it. It's free to ask. Just email me, and I'll respond within 30 days.
If I can't give you access or make a correction, I'll explain why in writing, as long as it's lawful to do so, and tell you how to make a complaint.
You can also ask me to delete your information. I'll do so, unless I need to keep some of it for a legal reason, like tax records. If so, I'll tell you what I'm keeping and why.
If you live outside Australia
I sometimes teach in person overseas. Wherever we meet, I handle your information the same way, under this policy and Australian privacy law. If your own country has privacy laws that apply to you, I'll respect those too.
If you live somewhere I'm not teaching, I may recommend a Vedic Meditation teacher near you. I'll only pass on your details to them with your permission. Once you're in touch with them, their own privacy practices apply.
Concerns or complaints
If you're worried about how I've handled your information, please email me first. I'll acknowledge your complaint within 7 days, and give you a full response within 30 days.
If you're not happy with my response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
If this policy changes
I review this policy at least once a year. The date at the top changes whenever I update it. If a change affects how I use information you've already given me, I'll let you know by email first.
